Dolphin Update June 12: First Meet Details

Good Morning Dolphins,


Get excited! It's almost time for the first meet. Lots of details to cover here, so please make sure to read this thoroughly.


1) The Mock Meet/Walk-Through went "swimmingly!"

First, we talked through what we will experience chronologically from start to finish. Then swimmers went with coaches to learn what the clerk of course would do to organize them while parents went with Hilary and Keri to gain experience in timing and judging. Keri brought her speaker and a whistle to act as announcer so the swimmers could participate in a race; then we finished with relays. We hope this event helped reduce nerves and to set the swimmers up for success. I will set up our system on Monday evening for additional training.


2) Before the meet "to do"

a) Remember to download the swimmingly apps (there are 2):

-Light Blue: volunteers will use this during the swim meet for timing and judging.

-Navy Blue: the fan app. This will allow you to follow the meet as it progresses as well as to track your swimmer.

b) Sign up to volunteer:

-complete necessary trainings for stroke and turn if applicable.

3) Day of Arrival Details:

Report to SCC pool at 4PM. Please have your swimmer numbers written on the swimmer's arms before you arrive. There is no official check in required. Just find our team set up area on the snack bar side of the pool and settle in.


Warmups will begin sometime around 5pm. The meet will begin at 6PM.


4) Weather. It appears potentially stormy next week.

-Please remember to pack accordingly: bring extra dry towels, layers (sweatshirts, sweatpants), even blankets if your swimmer might be cold between races.

-in case of storms:

-The meet must start by 7PM and end by 10PM.

-In order for it to count if disrupted, we must get to event 31.

-If it should thunder/lightning, we will have to clear the deck for 30 minutes.

-meet directors will convene to determine next steps with lifeguards.


5) Meet Attendance:

-We need to know if you will be absent from the meet asap.

-Parents can use the swimmingly website to sign out

-There will be "sign out sheets" on the bulletin board

-You can also let the coaches or me know via text and conversation.

6) We will sign swimmers up for events on Mondays after AM practice. Team lineups are due by 10PM on the night before the meet. Lineups are usually sent on Tuesday mornings.


a) What event is my child swimming? The info will be attached to my Tuesday email, and will also be found on Swimmingly Fan App.


STEP 1: Download the Swimmingly Fan app. Note: this is different than the Swimmingly App for volunteers.

STEP 2: -You will see two tabs (Clubs, Swimmers)

-Click on Clubs & Search for our club: "Spotswood Country Club: 2023 - Summer Season - Valley Swim League.

STEP 3: Once you have followed our club, click on the club name. It will take you to a list of our scheduled meets. Click on tonight's meet "Westover hosts SCC." This will take you to the meet lineup for tonight.

STEP 5: Once in the meet lineup, you will see two tabs "Events" and "My Swimmers"

STEP 6: Click on "My Swimmers". If this screen is blank, proceed to click on "Follow Swimmers." This will take you to a list of our swimmers. Select the circle next to your swimmer(s) names. This will show you what events each will swim. It will also update with results throughout the meet.


7) If you are concerned about your child's event, please talk with the coaches. It is best not to change things (for the sake of the clerk), however, it is very easy to scratch individual events. If your child is signed up for a relay, please encourage your swimmers to participate.

8) The concessions stand will be open during the meet for all to purchase. The snack bar will have a cash box for non-members and guests as well.


9) Post meet pizza party: after the other team clears the deck, we will open the bar for adults and enjoy night swimming with pizza. I will also include a pizza order request in the next Tuesday email.
